Create an Event

Step 1: Log In

Step 2: Add Event

Once you have logged in, hover over Events from the menu on the left, then select Add Event.

Step 3: Enter Event Details

  1. Title
  2. Subtitle
  3. Description

If you are copying & pasting text into any of the fields above, it is recommended that you do this in the “Text” editor, and not the “Visual” editor. After you paste the text, you can then use the visual editor to format the text and add URLs.

  1. Event Date & Time

The Time Text field is used if an event has additional times, such as an early access time.

  1. Event Sold Out & Box Office

If nothing is entered in the sold out date & time, the default sold out date & time for all events is set to the event start date and start time. You can add a custom sold out date and time.

Disregard the box office.

  1. Event Information

Gallery URL is for the photo gallery links. This can be added at a later date.

SEO URL is the URL for the event. For example, if the event you are adding is called Burger Bash, and you set the SEO url to “burger”, the event URL will be nycwff.org/burger.

  1. Event Location

Event Location: This will be the name of the location on the event description page.

Google Map Link: This is the link that the event location name will link to. Please see the documentation for how to curate a Google map link.

  1. Buy Button 1: Early Entry / Presale / Box 1
  • Price($): Regular price
  • Sale Price($): Presale or other discount price
  • Ticket Status: On Sale
  • Ticket URL: SquadUp ID
  • Hide Price?: Check this box if you want to hide the price
  • Hide Buy Button: check this box if you want to hide the buy button
  • Custom List Text: This is only needed if you want to override the default text. This will display on the button on the event listing page (nycwff.org/events/)
  • Detail Button Text: This is only needed if you want to override the default text. This will display on the button in the event detail page (e.g. nycwff.org/burger)
  • Summary Button Text: This is the orange text under the title (e.g. “20% Off During Presale”)
  • Button Classes: N/A
  • Ticket Type: Enter the ticket type title (e.g. Priority Entry)
  • Ticket Popup: This is the popup text displayed if you hover over the “i”/info icon.
    • Important to format this like in the screenshot below. You can use a Grand Tasting event as an example / to copy the content.
  1. Buy Button 2: General Admission / Box 2
  • Price($): Regular price
  • Sale Price($): Presale or other discount price, if applicable
  • Ticket Status: On Sale
  • Ticket URL: SquadUp ID
  • Hide Price?: Check this box if you want to hide the price
  • Hide Buy Button: check this box if you want to hide the buy button
  • Custom List Text: This is only needed if you want to override the default text. This will display on the button on the event listing page (nycwff.org/events/)
  • Detail Button Text: This is only needed if you want to override the default text. This will display on the button in the event detail page (e.g. nycwff.org/burger)
  • Summary Button Text: This is the orange text under the title (e.g. “20% Off During Presale”). This may not be applicable for General Admission tickets.
  • Button Classes: N/A
  • Ticket Type: This typically won’t be needed for a General Admission ticket, but you can enter the ticket type title here. If nothing is entered, it will default to General Admission.
  •  Ticket Popup: This is the popup text displayed if you hover over the “i”/info icon. This typically isn’t required for a General Admission ticket.
  1. Buy Button 3: Package Deal / Other
  • Price($): Regular price
  • Sale Price($): Presale or other discount price, if applicable
  • Ticket Status: On Sale
  • Ticket URL: SquadUp ID
  • Hide Price?: Check this box if you want to hide the price
  • Hide Buy Button: check this box if you want to hide the buy button
  • Custom List Text: This is only needed if you want to override the default text. This will display on the button on the event listing page (nycwff.org/events/)
  • Detail Button Text: This is only needed if you want to override the default text. This will display on the button in the event detail page (e.g. nycwff.org/burger)
  • Summary Button Text: This is the orange text under the title (e.g. “Saturday Tastings in Brooklyn, 20% Off”).
  • Button Classes: N/A
  • Ticket Type: Enter the ticket type title (e.g. Package Deal!)
  • Ticket Popup: This is the popup text displayed if you hover over the “i”/info icon.
    • Important to format this like in the screenshot below. You can use a Grand Tasting event as an example / to copy the content.
  1. Additional Information

This is where you can edit the demo schedules & book signings. Please see the how-to guide for demo schedules & book signings.

  1. Who’s Coming

These are the personalities who will attend the event. Type the name of the personality or select from the dropdown.

  1. Specialty Personalities

Enter a title for this section. Example: “Hosts”

Select the personality(ies) by typing their names or selecting from the dropdown.

  1. Related Events

These are the cross-selling events in the “You Might Also Like” section of the event detail page.

Select events by typing their names or selecting from the dropdown.

  1. Event Sponsors

Select sponsors by typing their names or selecting from the dropdown.

  1. Ticketing Info

This is for the “Special Ticket Information” dropdown on an event detail page. If an event needs to include customized special ticket information, you will add that info in this field.

  1. Event Disclaimer

This is for the “Terms & Conditions” popup on an event detail page. If this field is left blank, then the default terms & conditions text will be used. You will typically not use this field unless the event calls for custom terms & conditions text.

  1. Payment Plans

This is for the “i”/info popup on the “Pay Over Time Available” box. If no text is entered here, then the default payment plan text will be used. You will only enter text in this field if an event calls for customized payment plan popup text.

  1. Custom Fields

Do not edit anything within the custom fields.

  1. Tags

Select event tags, or create a new one by typing it into the text field box, then click “Add”.

  1. Event Types

Select one more more event types by checking the box(es).

If it’s a Presale event, make sure to check the “Presale Sponsor” box.

  1. Featured Image

Click “Create Gallery”

Upload event images to the media library.
If your images are already in the media library, you can select multiple images by holding down CTRL (Windows) or Command (Mac).

After you upload/select images in the media library, click “Add to gallery. Here, you can rearrange the order of the images by clicking and dragging.

Click “Insert Gallery”.

Step 4: Save as a Draft or Publish the Event (Top right section)

  1. If you are ready to publish the event, click the blue “Publish” button
    1. To view the published event, use the short url – example: nycwff.org/burger
  2. If you are not ready to publish the event, you can save it in draft mode by clicking “Save Draft”
    1. To preview the event in draft mode, click the “Preview” button
