Mailchimp Setup

After you have created and tested the JT Newsletter in the backend of the SOBEWFF website, please use the following instructions to set up and schedule the newsletter in Mailchimp.

Step 1: Login to Mailchimp & Access Your Campaign

From the lefthand menu, click “Campaigns”, and then select the campaign you are working on.

Step 2: Campaign Name

This is automatically pulled in from the details you entered in the website builder. No need to edit this.

Step 3: “To” Info

A. Send to: Click the dropdown, then segments, and select “Engaged Since 2024 Festival + 180 days (No Sweeps)”

Note: this list / list name will change after the off-season. Please touch base with Mobius on this.

B. Do not send to: You do not need to make any changes to this

C. Personalize the “Send To” field: Check this box, and in the “Merge tag” dropdown, select *|FNAME|* *|LNAME|*

D. Save: Click the Save button

Step 4: “From” Info

A. Name: Food Network South Beach Wine & Food Festival presented by Capital One

B. Email address: Please verify this email address with Mobius before each sendout. We need to verify that the email address is still “safe” in order to keep our healthy reputation.

C. Save: Click the Save button

Step 5: Subject

A. Subject: this is automatically pulled in from the details you entered in the website builder. No need to edit this. However, if you do want to change it, the change should be made on the website JT builder.

B. Preview Text: this is automatically pulled in from the details you entered in the website builder. No need to edit this. However, if you do want to change it, the change should be made on the website JT builder.

Step 6: Send Time

A. Schedule: Select “Schedule (not “Send now”)

B. Delivery Date: Use the date picker to select your delivery date

C. Send Time: Select “Send at a specific time” and select a send time

D. Batch Delivery: We want to keep the amount of recipients per batch to around 5,000. To calculate this, look at the amount of recipients in the To section, and divide by 5,000. This is the number of batches to send. The batches can be sent 5 minutes apart.

Example: 125,153 recipients ÷ 5,000 = 25.0306, so 25 batches would be good.

E. Save: Click the Save button

Step 7: Content (No Edits Required)

This is automatically pulled in from the email you built on the SOBEWFF website. If you need to make any content edits, please do so in the backend of the SOBEWFF website.

Step 8: Settings & Tracking (No Edits Required)

The Google Analytics info is automatically pulled in from the email you built on the SOBEWFF website. No need to edit this.

Step 9: Send a Test Email

These tests will be the same as the tests you send from the backend of the website, but it’s a good idea to test once more from Mailchimp.

Step 10: Schedule / Send

Once you have confirmed that all details are correct, you can schedule your email to send.

Step 11: Resend to Non-Openers

After you schedule your email, Mailchimp will prompt you with the option to resend your email to people who did not open it.

In the confirmation message about your email being scheduled, click “Resend to non-openers”, then do the following:

A. Select send date: We typically send this 2-3 days later after the original send-out.

B. New Subject Line (Optional): We typically don’t change this, but you have the option to do so if desired.

C. Schedule resend: Click “Schedule email”

Finish Later (Optional)

If you want to save your changes but you are not ready to send the email yet, click “Finish Later”.
